RECEPTIONIST & ADMINISTRATIVE COORDINATOR

We are looking for a skilled Administrative Coordinator and dynamic professional who thrives in a fast-paced, detail-oriented environment, balancing executive support, operational management, and marketing coordination with professionalism and grace.

The Opportunity

Reporting directly to President Jacob Kirst, you will serve as:

  • Administrative Coordinator  — ensuring seamless daily operations and supporting an exceptional team.

  • Marketing & Events support — overseeing campaigns, company events, and client touchpoints.

  • Director of First Impressions — representing the Lagois brand to clients, partners, and the public with warmth and professionalism.

This is a multifaceted support role that demands initiative, adaptability, and the ability to manage multiple priorities with calm precision.

 

Core Responsibilities

Office Admin & Operations

  • Ensure the efficient daily operation of the office, supporting all team members.

  • Oversee administrative systems, supplier accounts, insurance renewals, licenses, service contracts and memberships.

  • Manage office supplies, facility maintenance, cleaning schedules, and IT coordination.

  • Maintain organized digital and physical filing systems.

  • Uphold and update company policies, handbooks, and process maps.

  • Oversee Health & Safety program and compliance documentation.

  • Tag and process invoices in coordination with the accounting workflow

  • Maintain oversight of master project and operational schedules to support company planning, execution and accountability

Sales & Client Experience

  • Act as the Director of First Impressions for all new inquiries.

  • Manage incoming leads, pre-qualify prospects, and maintain accurate sales records and statistics in Buildertrend.

  • Support the Sales and Design teams with client onboarding and follow-through.

  • Ensure prompt, professional client communication via phone and electronic correspondence (such as text/email) as per quadrant metrics

  • Coordinate departmental handoffs from each department (ensure all required documentation and product delivery from one phase to the other is complete, accurate and scheduled)

  • Maintain comprehensive records of all activities, next steps, and supporting documentation within Buildertrend to ensure transparency and continuity across all departments

  • Produce and maintain KPI (Key Performance Indicator) metrics to support leadership in decision-making, forecasting, accountability and continuous improvement.

  • Hold President accountable for

    • Sales, calls, appointments and follow-ups

    • Cookbook Activities

    • Warranty calls

    • Client experience milestone check ins

Marketing & Events

  • Oversee all marketing initiatives, schedules, and timelines, ensuring projects remain on track at all times

  • Support company wide marketing initiatives, events, and award submissions.

  • Maintain, track and reconcile the marketing budget. 

  • Oversee the marketing and office calendar, ensuring deadlines are met.

  • Coordinate Lagois-hosted events (e.g., charity golf tournament, trade shows, client events, staff celebrations).

  • Oversee newsletters, social media tasks, and client engagement efforts.

  • Collaborate with the Director of Marketing and external partners to execute campaigns.

  • Coordinate photography, client binders, and project close-out packages. 

Team & Culture Support 

  • Serve as the go-to person for the team’s operational needs.

  • Coordinate training sessions, safety meetings, and staff events.

  • Foster a culture of accountability, positivity, and respect aligned with Lagois’ values.

  • Ensure internal communication is clear, timely, and purposeful.

  • Hold team accountable and assist as required to ensure all BT schedules and to do’s are on track, completed and current.

Non-Negotiables

  1. Be the First Contact Person — Phones, emails, and walk-ins are managed promptly and professionally.

  2. Ensure Efficient Office Operations — Office runs smoothly, organized, and stocked.

  3. Coordinate Marketing & Company Events — Campaigns, budgets, and events executed on time and on budget. 

  4. Support the Lagois Team — Anticipate and prioritize needs proactively.

  5. Maintain Policies & Procedures — All documentation current, followed, and reinforced.

 

Metrics for Success

  • Emails returned within 4 hours (prospects) and 24 hours (general).

  • Phones answered within two rings, clients greeted warmly within 15 seconds.

  • Office supplies, insurance, and licenses checked and current.

  • Website contact forms and calendars monitored daily. 

  • Marketing and event calendars current and executed on schedule. 

  • Policies, process maps, and handbooks reviewed and updated quarterly. 

  • Internal and external communication consistently professional and aligned with Lagois brand tone and core values.

Compensation will be based on qualifications and experience.

 

Experience in the construction, design, or renovation industry will be considered an asset.

This is a permanent, full-time position.
